Audit: subscriptions or your own system

• The 36-month math: what you pay today for subscriptions and the manual work around them, against the build, hosting and a monthly plan.
• The month from which your own system costs less in total, or a plain “do not build”.
• The order of the move: what to move first, what later and what to keep on a subscription.
• The risks: data export, integrations that exist only inside the vendor, contract notice periods.
• A fixed build price in writing, with the scope as a closed list.
• A monthly plan matched to how fast your company changes.

• you pay per seat or per order, and the bill grows at every renewal;
• next to the tools there are spreadsheets and data retyped by hand between systems;
• the process works around the tool's limits, for example with “for later” statuses or cancelled orders;
• new e-invoicing rules, a new payment provider or the end of a vendor contract is coming.

The audit usually does not make sense when 3 years of the subscription cost less than a build with a plan for the same time (for the smallest system that is about €30,000 / $34,000 net: a €14,000 / $16,000 build, then Care and hosting, as in the article on the 3-year math), and nothing in the process gets in the way. Then it is better to stay and negotiate the price.

1. You pick a free time for the call in my calendar, or fill in a short form and I reply within 1 business day.
2. We talk for 30 minutes, free. You tell me what you pay for and what gets in the way of the process.
3. You get an offer for €1,200 / $1,400 net. You accept it in the browser and pay by bank transfer against an invoice.
4. You send the data listed in the offer, including the subscription invoices of the last 12 months. Within 5 business days of the payment and the data you get the result, and we go through it on a call.
5. You decide: we build, and if you order the build within 60 days of the report, the audit fee comes off the first instalment; or we do not build, and the document stays with you.
